Virtual Event Corporate Checklist

  1. Know what you want to produce and strategize 

    • Work with your partners to figure out the WHY for the Event.

    • Coordinate and stay organized. Allocate teams to make sure the guest journey and everyone involved has a streamlined workflow.

    • Review the tech aspect and be able to articulate the process. This is most essential when hosting a virtual event. You want to make sure that you get a tech partner that is familiar and experienced with your streaming platform and know their duties. (periodically test the Wi-fi, streaming on multiple platforms, lighting, etc.) 

  2. Communicate with your clients, vendors, exhibitors, and guests 

    • Create a guideline for everyone and reiterate adherence.

    • If you’re bringing in outside vendors make sure to become familiar with their COVID guidelines and ensure they have uniformed PPE. 

    • If there is a panel or speaker see if you can have prompted screens and/or a rehearsal to ensure that it stays on schedule.

    • Place proper signage up so that people will know what is happening. Make certain to review it beforehand.

  3. Have Options 

    • Because nothing is really certain these days. It is helpful to have a back up plan for vendors and venues. Make sure to read through contracts. 

  4. Pre- Record Some Content 

  5. Connect 

    • There are many platforms that have built-in networking options to allow people to network while they are attending a session, such as Brella. Incorporating these allows people to feel like they are a part of the event. 

    • You can send a code for attendees to get a free gift of items from sponsors mailed to them.
